Onsite in Madrid - Registration conditions

ESC Congress 2025 together with World Congress of Cardiology, Madrid & Online, 29 August - 1 September

These are the onsite experience registration conditions - see here for online registration conditions

Access to ESC Congress 2025

By registering you fully accept all registration’s conditions as further detailed:

ESC Congress is only accessible to certified healthcare professionals, associated press, healthcare industry representatives and other stakeholders involved in the science, management, and prevention of cardiovascular disease. Non-healthcare professionals will not be able to access the Congress area. Infants and children under the age of 18 are not invited to enter the ESC Congress venue.

As the ESC recognises it is challenging for parents with children under 18 to attend the congress, a childcare service will be available on site: more information will be available from April 2025. Childcare is not included in the congress registration fee, so a nominal charge will be payable by delegates making use of this service.

In application of the country and local safety regulations, entrance into the onsite event premises may be subject to health checks as required.

Delegates agree to comply with COVID-19 health and safety measures and protocols established for the event for attendance as well as applicable State and local requirements, such as wearing approved face covering, maintaining appropriate social distance from others, wash hands frequently (or use suitable sanitizing alternative).

Registration to ESC Congress 2025 onsite in Madrid includes:

  • Sessions organised by ESC National Cardiac Societies
  • In-person networking opportunities onsite with peers and faculty
  • Access to the Members Lounge (only for ESC Professional Members)

Payment and General Conditions

All registration fees are quoted in Euro (€) and include 21% Spanish VAT. Payment in any other currency will not be accepted.

Invoices with an address in the European Union should be provided with a VAT Number. The invoicing address and VAT number can only be set up during the registration process.

Healthcare companies or third-party agencies cannot create a delegate “My ESC account” to register their delegates.

Changes cannot be made to an invoice following a purchase through the My ESC account. An invoice to an individual cannot be transferred to an organisation after payment. To avoid disappointment, please check the Billing details carefully before payment. If in doubt, contact us.

In case of a visa request rejection, the ESC will refund the full registration fee only upon receipt of the official refusal document from the Embassy.

Payment of fees

Payment by Credit card (Visa, Mastercard or American Express) can be made through the online services on our secured server. For security reasons, under no circumstances should credit card details be sent by email or fax.

In case of additional payments for extra orders or adjustments, a secured payment link will be sent by email.

Registration fees rate is based on the date of receipt of the registration request. The prices indicated are only applicable if BOTH the registration request AND payment are received before midnight, Central European Summer Time (UTC +2), on the relevant registration deadline date, otherwise, the higher registration fee will be applied.

Registrations will be acknowledged by email upon receipt of payment and a valid personal email address. Incomplete addresses or agency addresses will not be accepted and will result in the cancellation of the registration.

Active registrations are nominative and non-transferable.

Miscellaneous

Should a delegate not attend the congress, for whatever reason, no further claims for reimbursement or waiving of fees can be made.

In case of impossibility to attend the onsite event and to allow registered delegates to continue their experience beyond the event dates, we are pleased to inform you that all scientific content will continue to be available for two weeks after the event, to be viewed at your leisure.

Modification of the programme

The ESC reserves the right to modify the ESC Congress 2025 programme at any time, which is published as an indication only and subject to change.

No waiving of fees nor right to further claims will be possible should the ESC be obliged to alter the programme of ESC Congress 2025.

Changes, postponement and cancellation

Given serious cause, the ESC is entitled to postpone (modify the dates), to curtail the duration, or to cancel the onsite event. In the event of complete or part postponement or curtailment, the registration is regarded as valid for a possible new date and new duration for the said onsite event.

If the onsite event has to be cancelled, the ESC will strive to maintain the online event and any onsite registration will be automatically transferred to an online registration. The delegate will be refunded the difference between the onsite and online fee, at the rate applicable when the original onsite fee was paid.

If, due to any contingency that the ESC cannot overcome (in particular force majeure), both the onsite event and the online event have to be cancelled, registrations by individuals will be reimbursed in full, however a charge for administrative costs may be retained for group registrations, as specified in the Group registration conditions. Apart from reimbursement of registration fees, delegates will not be entitled to compensation for any costs or damages incurred as a consequence of such event cancellation, change or postponement. For example, no compensation will be due for costs related to housing and travel arrangements.

All delegates are urged to take personal travel insurance.
