Heart Failure 2020 Cancellation – Your Questions Answered

General Cancellation Information

Why has the congress been cancelled?

The leadership of the ESC and the Heart Failure Association (HFA) have been closely following the current health crisis. The spread of COVID-19 around the world and the necessity for healthcare professionals to deal with the epidemic in their hospitals has inevitably impacted the availability of both faculty and delegates to take part.

Furthermore, the Spanish authorities have declared a state of emergency while the Catalan government has imposed a total lockdown and severe travel bans.

As a result of these factors and our responsibility to protect the health of our faculty, delegates and staff, the HFA leadership has decided that cancelling Heart Failure 2020 is the only responsible course of action.

Will the congress be postponed to a later date?

No, the congress is cancelled.

Where can I find the official statement of cancellation?

On the congress webpages.

Will I be refunded for the cost of my registration fee?

Your registration fee will be refunded in full as soon as possible. We recognise the disappointment and inconvenience this has caused, and we are waiving our normal reimbursement rules.

How, when and where will I be refunded for my registration fee?

You will be automatically refunded on the credit card you used to register. If the payment was made by bank transfer you can add the bank details in your My ESC account. Note that the registration fee will only be refunded to the account used for the payment of your registration.

I cancelled my participation in the congress before it was officially cancelled. Will I be eligible for a refund?

If you cancelled your participation in the congress before the official cancellation was announced, you will need to provide an official document stating that you were unable to attend due to travel restrictions. Please send this by email.

As a student I benefited from free registration. Will it be transferred to Heart Failure 2021?

The 2020 free registrations will not be transfered. Students will be invited to apply again in 2021.

I bought my membership at the same time as my congress registration. Will I be reimbursed the full amount?

We encourage you to keep your membership with its many benefits available throughout the year. You will not be reimbursed automatically, however you are entitled to cancel your membership as outlined in the ESC Sales Conditions. Due to the exceptional circumstances presented by COVID-19, the membership cancellation period has been extended to 4 July 2020 on the condition that you have not accessed any of the benefits online.

Certification Exam

Is the Heart Failure Certification exam which was scheduled to take place during the congress also cancelled?

Yes, the exam is cancelled.

When will I be refunded for the exam, if so when and how?

As HFA cancelled the exam, the full registration fee will be refunded in the coming weeks. However, HFA is not liable for any cost incurred by the cancellation of accommodation and travel arrangements.

Will the exam take place later this year?

The HFA is currently working on alternative solutions to deliver the exam at a later date.

Transportation and Hotels

What steps should I take to get reimbursed for the costs related to my travel/accommodation?

For hotel accommodation please contact the agency or hotel to cancel your booking and check the cancellation conditions. For your airline travel, contact your airline directly and if you have taken travel insurance, contact your provider for information about the cancellation procedure.

I am an invited member of faculty. Will the ESC cancel my flights and hotels or should I do it myself?

If the ESC reserved your flight and/or hotel, we will cancel these on your behalf. No action is required on your part. If you booked your flight and/or hotel yourself, please contact your airline and booking agent directly.

Can I withdraw my science and submit it elsewhere?

Yes. Kindly notify us by email so we can log this information on your abstract.

Will my abstract still be published and where?

Publication is linked to presentation at a congress. We therefore, at this time, cannot inform you about potential publication.

I am an invited member of faculty. Will I get reimbursed for the expenses linked to my travel?

If travel reimbursement is part of your Faculty entitlements you will receive shortly additional instructions on how to submit an expense claim. (Reimbursement to Faculty members is based on the HFA Travel Policy.
