EuroHeartCare 2020 Cancellation – Your Questions Answered



General Cancellation Information

Why has the congress been cancelled?

The ESC and ACNAP leaderships have been closely following the rapid spread of COVID-19 and its impact on healthcare professionals, particularly, nurses and allied professionals who are on the front lines.

Increasingly severe measures are being put in place to limit the spread of the virus as health systems deal with the pandemic. As such, 38% of our congress faculty have already cancelled their participation in EuroHeartCare – and that number will only grow.

In addition, Spain’s authorities have imposed a nationwide lockdown to fight the sharp rise in infections and it is unclear how the situation will evolve over the coming weeks. As a result of these factors and our responsibility to protect the health of our faculty, delegates and staff, the ACNAP board decided that cancelling the congress was the only responsible course of action.

Will the congress be postponed to a later date ?

No, the congress is cancelled. However, we are pleased to confirm that EuroHeartCare 2021 will take place in Seville, Spain.

Registration

Will my registration fee be refunded?

Your registration fee will be refunded in full as soon as possible. We recognise the disappointment and inconvenience this has caused, and we are waiving our normal reimbursement rules.

How, when and where will I be refunded for my registration fee?

You will be automatically refunded on the credit card you used to register. If the payment was made by bank transfer you can add the bank details in your My ESC account. Note that the registration will only be refunded to the account used for the payment of your registration.

I benefited from free registration as a student, will it be transferred to the next edition?

The 2020 free registrations will not be transferred. Students will be invited to apply again in 2021.

I bought my membership at the same time as my congress registration. Will I be reimbursed the full amount?

We encourage you to keep your membership with its many benefits available throughout the year. You will not be reimbursed automatically, however, you are entitled to cancel your membership as outlined in the ESC Sales Conditions. Due to the exceptional circumstances presented by COVID-19, the membership cancellation period has been extended to 4 July 2020 on the condition that you have not accessed any of the benefits online.

Transportation and Hotels

What steps should I take to get reimbursed for the costs related to my travel / accommodation?

For hotel accommodation please contact the agency or hotel to cancel your booking and check the cancellation conditions. For your airline travel, contact your airline directly and if you have taken a travel insurance, contact your provider for information about the cancellation procedure.

I am a presenter. Are there any actions to take in order to get reimbursed for the costs related to my travel / accommodation?

The ESC will not refund individual airline ticket costs. Please contact your airline directly regarding ticket cancellations and your hotel or booking agent regarding your accommodation. If you purchased travel insurance, you should contact your provider for information and next steps.

I am an invited member of faculty. Will the ESC cancel my flights and hotels or should I do it myself?

If the ESC reserved your hotel, we will cancel it on your behalf. No action is required on your part. If you booked your flight yourself we will send you shortly additional instructions on how to submit an expense claim. (Reimbursement based on the ACNAP Travel Policy for faculty members - up to €200)

Science

What will happen to my science?

All those having accepted a faculty role in EuroHeartCare 2020 will be contacted by November 2020 to renew the acceptance of their role.

Can I withdraw my science and submit it elsewhere?

Yes. Kindly notify us so we can log this information on your abstract.

What will happen to my science?

The Scientific Programme Departement will be in touch with you shortly regarding the publication and presentation options for your accepted abstract(s).

Industry Partners

Will industry partners be refunded for their participation?

As per our sales terms and conditions, the ESC will refund sums paid by industry partners for contractual commitments less 25% for administrative fees. For any queries regarding refunds, please contact us.

ACNAP Activities at EuroHeartCare

Will the summit due to take place on 4 June in Seville be postponed?

For the moment no other date is confirmed. The ACNAP team will update if there is any change.

ACNAP elections

Elections results will be sent by email and posted on the ACNAP section of the website on 6 June 2020.

Will the networking events (lunch and get together cocktail) be rescheduled?

The networking events are not rescheduled for the moment.
