Payment and General Conditions
All registration fees are quoted in Euros and include 10% Austrian VAT. Payment in any other currency will not be accepted.
Invoices with an address in the European Union must be provided with a VAT number. The invoicing address and VAT number can be set up during the registration process.
Any modification of the VAT number or address, requested after the issuing of the invoice, will result in an administrative fee of €85.
Registration fees are based on the date of receipt. The prices indicated are only applicable if both registration form/request and payment are received before the registration deadlines (midnight, GMT+1); otherwise the higher registration fee will be applied.
Registrations will be acknowledged by email upon receipt of payment and a valid personal address. Incomplete addresses or company addresses will not be accepted and will result in the cancellation of the registration.
Payment of Fees
Payment of fees can be made in Euros by credit card, bank transfer (until the late-fee deadline) or cheque. Payment by cash in Euros will be accepted on site in Vienna.
Cancellation or Alteration
Any cancellation or alteration of your registration must be notified in writing and will be subject to the following conditions:
- Until 31 October 2019 : refund of fee minus 30% administrative charge.
- From 1 November 2019 : no refund.
- Before 31 October 2019 : name changes will be charged €140.
- From 1 November 2019 : no name changes will be accepted.
No-shows at the congress will be charged the full fee. A fixed price of €60 will be charged for the replacement of lost badges.
Refunds will be processed after the congress.
No right to further claims or waiving of fees will be possible should the ESC be obliged to alter the congress programme.
In the event of unforeseen circumstances or serious circumstances beyond its control, the European Society of Cardiology (ESC) shall be entitled to cancel or modify the dates of the event. Delegates shall not be entitled to compensation for any costs or damages incurred as a consequence of such a cancellation or change.
All delegates are urged to take personal travel insurance.
The ESC shall not be liable for any theft or damage to property and/or persons caused on site during the congress, by any factor whatsoever, unless there has been a fault, intent or deliberate recklessness on the part of the ESC.
The ESC shall not be held responsible in the event of poisoning or food intoxication during the event.
Data Privacy Statement
The information collected during registration is subject to data processing for your purchase and to manage the congress, as well as related social events to ensure you receive an invoice, congress badge, invitation letter, CME points and certificate of attendance.
Without this information, we shall be unable to process your registration properly.
The recipients of the data are ESC staff managing the registration process. The data collected will be kept for a maximum of five years after your last transaction or activity with us, after which your My ESC account will be closed. Financial transactions will be kept for a maximum of 10 years for legal accounting purposes.
Please be aware that during the congress you will be scanned daily at the entrance for security reasons. Furthermore, when presenting your badge for scanning at an exhibition stand or during industry-sponsored sessions, the following personal data can be retrieved by the corresponding exhibitor or industry: first name(s), last name(s), address, telephone, fax, email, and profile information.
In addition, please note that if you log in to the ESC Mobile App to manage your programme, the following data will be transferred to the app supplier: first name(s), last name(s), ESC ID, and membership status.
During the congress, attendees may be photographed and videotaped by the ESC or its partners capturing the event. Some of these photographs or videos may be displayed by the ESC or its partners in future publications or materials connected with the event, as well as on social media. If you do not wish for your image to be displayed by the ESC, please go to the information desk or one of the registration desks on site during the congress to have a specific sticker added to your badge. Without contradictory instructions from your side, you hereby grant the European Society of Cardiology the irrevocable right to record and use free of charge your image, voice, and name in photographs and videos in which you appear – on a worldwide basis and for the entire duration of protection of the rights thereto – on any and all supports or forms of media for purposes related to scientific, educational or promotional purposes. You hereby release, waive, and discharge the European Society of Cardiology, its employees and independent contractors from any and all demands, claims, causes of action, damages and liabilities directly or indirectly arising out of any use of your image, voice or name pursuant to the foregoing rights grant.
In accordance with Section 2 of Chapter 3 of the European Regulation 2016/679 regarding data protection, you have the right to request from the ESC access to – and rectification or erasure of – your personal data or restriction of processing of your data. You may also object to the right to data portability.

You have the right to lodge a complaint with a supervisory authority. For information, the ESC has appointed a Data Protection Officer whom you can reach at email@example.com.
By registering, you also accept to respect the following directives on site:
- Smoking will not be permitted in the ESC Congress Centre. Any fines for infringements of this ban shall be borne by you.
- You will not bring inside the ESC Congress Centre or its surroundings any gases, or easily flammable, explosive or hazardous substances (including chemical pesticides and insecticides) or foul-smelling materials or radioactive sources.
- You will comply with the safety and security measures put in place within the ESC Congress Centre and surroundings.
- You commit to not causing any nuisance or inconvenience during the event.
Applicable Law and Litigation
These terms and conditions shall be governed and interpreted in accordance with French law without regard to any conflicts-of-law principles thereof that would require the application of the law of any other jurisdiction.
Any disputes arising in relation hereto shall be submitted to the exclusive jurisdiction of the French Tribunal de Grande Instance located in Grasse, France.
