Online upload for Oral Abstract Presenters (Award Session & Rapid Fire Abstracts & Advances in Science) will open on Thursday 18 August 2016.

Declaration of interest

The existence of potential conflicts of interest does not necessarily indicate a bias. However it is our ethical obligation to inform organisers and participants so that they are made aware of any relationship that might cause unintentional bias.

A potential conflict of interest may arise from various relationships, past or present, such as employment, consultancy, investments and stock ownership, funding for research, family relationship etc.

The Congress Programme Committee requests all persons to declare possible interest:

Speakers/Abstract Presenters are requested to declare potential conflict of interest regarding their current presentation on their first slide which must be shown on the screen long enough for the audience to consider the information.
Poster Presenters are requested to disclose potential conflicts of interest regarding their current poster presentation at the bottom of their poster.
This will allow the audience to take potential conflicts of interest into account when assessing the objectivity of the presentation.


We remind you that all presentations given at the ESC Congress 2016 in Rome, when copyrights transferred to the ESC, will be available on ESC Congress 365 in their respective formats  in addition to the abstract text. (slides & VOD for oral abstract presentation and ePoster for all poster formats)

Online Upload

The Online Upload Service will open on Thursday 18 August 2016  and we recommend that you use the online service to upload your presentation(s) in advance.

Once connected, you will see under the presentation title a link to upload.

  • A step by step wizard will take you through the process.
  • Please note that a Declaration Conflict of Interest Slide will be automatically inserted in your presentation, based on the related declaration you made. (you can edit /change this directly also on your agreement form - Please note that the DOI info must be up to date for the time of presentation)
  • For each presentation uploaded you will receive a confirmation email with the status of your upload.
  • To modify your upload, you can re-access the service and upload a corrected version, only the latest uploaded version will be considered.
  • Once uploaded, the presentations will available in the lecture room for the session.
  • If you have uploaded online and wish to review your presentation, you can do so at the Speaker Service Centre.

Presentations can be uploaded online until midnight (GMT+1) the night before the presentation is scheduled to take place. So even whilst at the congress, you can use this service.

Speaker Service Centre

Presenters can come to the Speaker Service Centre to upload their presentation or review their previously uploaded version as well as for technical assistance from the dedicated team.

At the Speaker Service Centre check in counter the hostess will scan your badge and your picture will be taken. Upload stations will be available for immediate use, scan your badge at the desk to access your presentation upload service. Should you need technical assistance to upload your presentation, technicians will be available to assist you.

Desk & plugs are also available in the lounge if you need to finalise your presentation before uploading.

You must upload your presentation a minimum of 3 hours before the session starts or the day before if the session is at 8:30.Presentations received after this deadline cannot be guaranteed audiovisual support. Once uploaded, the presentations will available in the lecture room.

Traditional Poster Upload

Presenting a traditional poster ?  With an e-Poster  you can  extend the reach of your work
Submit your traditional poster as an ePoster for ESC Congress 365

Printed Poster Presenters are also required to upload an electronic version of their paper poster once the agreement form has been submitted.
This is to ensure the research gets utmost visibility during and after the Congress. e-Posters will be available on ESC Congress 365.

Oral abstracts - ADVANCES IN SCIENCE & RAPID FIRE SESSIONS & Award Sessions

Please check your agreement form for the type of oral session your abstract is assigned to:

Advances in Science session

Each session features three abstracts and two lectures.
Presenting the latest original findings in science in combination with expert lectures on the topics.
The abstract presentation should not exceed 12 minutes to allow for 6 minutes questions-and-answers with the audience and the chairpersons.

Rapid Fire session

Your abstract will be presented in one of the interactive rooms in The Hub or in one of the Agora rooms (Poster Area).

Your abstract presentation timing should not exceed 5 minutes to present key results of your research  with  a maximum 5 slides-no multiple builds -(Introduction slide (first slide) and DOI (2nd slides) are additional)
This fast-paced presentation will be immediately followed by a 3 minutes questions-and-answers time with the audience, animated by the experts chairing the session. We do encourage the presenters and audience to continue discussion after the session if required.

Young Investigator Award Sessions & Nursing Investigator Award Sessions

Abstracts presented are in competition for an ESC Award - Specific information are sent by email to the presenters

NB - Results are announced at the Awards Ceremony on Monday 29 August at 18:00 in the Agora

Clinical case SESSIONS

The main objective of the session is to learn from challenging clinical case scenarios.

Recommended format for the presentation of your case:

Time duration: 7 minutes presentation plus 5 minutes discussion (please limit the number of slides accordingly)
Suggested structure for presentation:

  • Introduction
  • Description of the clinical case (don't forget to include images and/or videos to better illustrate the clinical case)
  • Discussion (can include differential diagnosis, different treatment alternatives or brief review of the literature)
  • Conclusion and implications/lessons to clinical practice


All presentations should be 16:9 formated and have a 1366 x 768 minimun resolution.
They will be displayed from a PC with Windows 7 or 10 and PowerPoint 2013.

We kindly ask you to use the official ESC Congress 2016 powerpoint template for your presentation

In order to ensure an optimal delivery of your presentation, please stick to the following guidelines in the preparation of your presentation:

  • Your presentation must be prepared in PowerPoint version: type .pptx (see provided template)
  • Preferred page set-up is landscape orientation (portrait orientation will not be displayed correctly).
  • Use standard Windows fonts only. Try to avoid use of non-standard Windows fonts or language specific fonts.
  • Images: Do not copy and paste the images from another application, please use the “insert image from a file” functionality from PowerPoint (format JPG or PNG).
  • Video: MPG, WMV, MOV or AVI are the only acceptable video formats.To avoid any issue with movies and loops with PowerPoint, presentations should be saved as a .pptx files.
  • Apple: Please give your file name an extension “pptx” (Preferred version: PowerPoint 2010/2013).
  • Check your presentation on a Windows-operated computer (preferably Win7) before you upload it


Personal laptop computers cannot be connected to the projectors in lecture rooms & presentations cannot be loaded directly onto the computer in the lecture rooms. Presentations must be uploaded via our service (Online or at the Speaker Service Centre)

To the attention of MAC users!

If your presentation is on a Mac computer, we recommend you ONLY provide a Windows compatible file and meet with the technician in the Speaker Service Centre to either make sure that your presentation will run properly on the PC’s or to anticipate a backup solution.

Moderated and Best Poster ePOSTER FORMAT

Moderated Poster Guidelines

Your abstract will be presented as a Moderated Poster in an electronic poster format (e-Poster).
The Poster area is divided into 9 main topic groups, each topic group section features a Moderated Poster station.
Moderated Posters will be in competition for a "Best Moderated Poster" Award. Each Moderated Poster session is chaired by two experts in the topic.
The Moderated Poster station features a large screen on which your abstract will be presented in its electronic format (e-Poster), as well as individual screens where it will be available for consultation during the entire poster session.
Moderated Poster Presenters must be by the screens before the start of the session. Displaying their e-Poster, in turns, on the large screen, presenters will summarise their research within 3 minutes and will then answers questions from chairpersons and audience.

The chairpersons will identify the best Moderated Poster at the end of the session.

Best Poster  Guidelines

Your abstract will be presented as a Best Poster in an electronic poster format (e-Poster).

The Poster area is divided into 9 main topic groups, each topic group section features a Best Poster screen.

Best Posters are awarded a diploma in recognition for the scientific achievement. The diploma should be collected at the Poster Assistance Desk.

The Best Poster screen is a large plasma screen on which the 4 selected Posters will be presented in their electronic format (e-Poster). The screen will be shared in 4 parts and during the viewing time, each poster will take in turns full screen to allow time for poster discussion. Posters will be on display for half day period and a discussant will visit the presenters during the dedicated viewing time to animate discussions. Presenters must be available by the screen during the breaks for poster viewing time and discussant visit.

ePosters for Moderated and Best Posters Technical Requirements

  • Upload an e-Poster (PDF version of your poster) via the link provided on the agreement form. You can upload once the agreement form has been submitted.
  • All e-Posters must be uploaded before 18 August 2016 to confirm participation in the session.
  • No paper poster accepted
  • Electronic Poster display :Your e-Poster will be available on the screens for the entire duration of the Poster session (half day).Presenters must come to check their poster on the screen before the start of the session.

1 PDF page format. Create your document on Powerpoint - Orientation LANDSCAPE Layout 16 x 9 - save it as a PDF file.

Please note that the use of the official ESC logos is not allowed.

The ESC does not allow QR codes on Posters. The text should be broken up by the inclusion of drawings and/or photos. The use of colour makes the poster more attractive and effective.

Hint! To test your PDF before you upload it, print it for proof reading on paper (A4 size) and if it reads clearly from one meter then your electronic version will look fine on our screens for your presentation.

Abstracts selected for Poster Presentation must be presented as a paper visual display of the research.

Important information - Please note the ESC cannot be held responsible for posters displayed or left in the Poster area or in the Congress centre. Posters must be collected after each session.

Poster technical requirements

Dimensions of your poster:
LANDSCAPE orientation
A0 Poster size - 84,1 cm (height) x 118,9 cm (width)
Posters on several sheets are not advised
Please note that the use of the official ESC logos is not allowed on your poster. This also applies to ESC Association, Working Group and Council logos.


Design your poster layout in the following sections:

  1. Title, author(s), address (at upper edge, across the width of whole poster)
  2. Purpose
  3. Methods
  4. Results
  5. Conclusions
  6. Declaration of interest (mandatory)

The title should be emphasised by the use of bold-face type. When displayed the letters used should not be smaller than 15 mm.
The sub-title should be printed in the same kind of lettering, but semi-bold and not less than 10 mm high when displayed. This guarantees clear reading even from a distance of 2-3 meters.
The text should be broken up by the inclusion of drawings and/or photos. The use of colour makes the poster more attractive and effective.
Material for mounting your poster to the poster board will be supplied by the ESC.
