ESC Congress

General Registration Conditions

The ESC Congress is only accessible to healthcare professionals, associated press and other stakeholders in the science, management and prevention of cardiovascular disease.

By registering, you accept that non-healthcare professionals, including children, will not be able to access the Congress area.
By registering you fully accept all registration’s conditions as further detailed:

Payment and General Conditions

All registration fees are quoted in Euro (€) and include 19% German VAT. Payment in any other currency will not be accepted.

Invoices with an address in the European Union should be provided with a VAT Number. The invoicing address and VAT number can only be set up during the registration process.
Any modification on VAT number or address, requested after the issuing of the invoice, will result in an administrative fee of € 85.

Registration fees are based on the date of receipt of the registration request. The prices indicated are only applicable if BOTH the registration request AND payment are received before midnight, Central European Time (GMT +1), on the relevant registration deadline date, otherwise, the higher registration fee will be applied.

Registrations will be acknowledged by email upon receipt of payment and a valid personal postal and email address. Incomplete addresses or agency addresses will not be accepted and will result in the cancellation of the registration.

Registration of EFESC, FESC, ESC Professional and Professional Plus members by a third party and groups

Registration of the above mentioned members can be done through third party or group in “My ESC” following the below conditions:

  1. The ESC will not provide any information about delegate’s membership status and it is the responsibility of the person making the registration to provide the ESC ID and member status* of their delegates if they wish to register that delegate at the reduced fee. Care should be taken to ensure that the delegate has renewed their membership for the 2018 year.
  2. In case the selected fee does not match the delegate’s membership status at the time of registration, the ESC registration team will change the registration to a standard fee and claim the difference between a membership and the standard fee.
  3. The standard fee selected at the time of registration cannot be changed to a member fee* at a later stage.

Payment of fees

Payment by Credit card (Visa, Mastercard or American Express) can be made through the online services on our secured server. For security reasons, under no circumstances should credit card details be sent by email or fax.

In case of additional payments for extra orders or adjustments, a secured payment link will be sent by email.

Payment by bank transfer or cheque are accepted up to the late fee deadline of 31 July.

Cash payment in Euros will be accepted on-site in Munich.

Cancellation or Alteration

Any cancellation or alteration of your registration must be notified in writing and will be subject to the following conditions:


  • Until 31 July 2018: refund of fee minus 40% administrative charge.
  • From 1 August 2018: no refund.

Please note that any refund will be processed after the ESC Congress.

Name Changes

Name change will only be possible for standard fee registrations.

  • Until 31 July 2018: name changes will be charged €135
  • From 1 August 2018: no name changes will be accepted.


Should a delegate not attend the Congress, for whatever reason, no further claims for reimbursement or waiving of fees can be made.

Modification of the programme 

The ESC reserves the right to modify the Congress programme at any time, which is published as an indication only and subject to change.

Liability Disclaimer

No right to further claims or waiving of fees will be possible should the ESC be obliged to alter the programme of the Congress.

In the event of serious special or unforeseen circumstances or serious circumstances beyond its control, the European Society of Cardiology (ESC) shall be entitled to cancel or modify the dates of the event. Delegates shall not be entitled to compensation for any costs or damages incurred as a consequence of such a cancellation or change.

All delegates are urged to take personal travel insurance.
The European Society of Cardiology (ESC) will not be liable for any theft or damage to property and/or persons caused on site during the Congress, by any factor whatsoever, unless there has been a fault, intent or deliberate recklessness on the part of European Society of Cardiology (ESC).

The European Society of Cardiology (ESC) shall not be held responsible in the event of poisoning or food intoxication during the Event.

Data Privacy Statement

You have personal data, which is, according to the Law on data processing and Civil Liberties 78-17 of 6 January 1978 modified, registered with the European Society of Cardiology (ESC) and, where the Congress is organised jointly with other organisations, may also be transferred to the Congress co-organisers. The information you supply on this form is required to process it and it will be held in the customer data files of the organiser(s). It may be used for marketing and communication purposes by the organisers and their contractors only. You have the absolute right to access, amend and oppose any use of this personal data by writing to the ESC at the address mentioned below or by using the 'Contact Us' form,

Please be aware that during the congress when presenting your badge for scanning on an exhibition stand or during industry supported sessions, the following personal data can be retrieved: first name(s), last name(s), address, telephone, fax, email, and profile information.

During the Congress, attendees, exhibitors, guests and others may be photographed and videotaped by ESC or its partners capturing the event.  Some of these photographs or videos may be displayed by the ESC or its partners in future publications or materials connected with the event.  If you do not wish for your image to be displayed by the ESC, please contact the ESC in writing no later than two weeks after the Congress. Without contradictory instructions from your side, you hereby grant the European Society of Cardiology (ESC), the irrevocable rights to record and use free of charge, on a worldwide basis and for the entire duration of protection of the rights thereto, on any and all supports or forms of media, your image, voice, name, photographs, and video on which you appear for purposes related to Scientific and Educational Purposes. You hereby release, waive and discharge the European Society of Cardiology (ESC), its employees and independent contractors from any and all demands, claims, causes of action, damages and liabilities directly or indirectly arising out of any use of your image, voice or name pursuant to the foregoing rights grant.


By registering, you also accept to respect the following directives on-site:
- Smoking will not be permitted in the Congress Centre. Any fines for infringements of this ban shall be borne by you.
- You will not bring inside the Congress Centre or its surroundings any easily flammable or explosive substances, gases or hazardous substances (including chemical pesticides and insecticides) or foul-smelling substances or radioactive sources.
- You will comply with the safety and security measures put in place within the Congress Centre and surroundings.
- You commit to not causing any nuisance or inconvenience during the Event.

Applicable Law and Litigation

These Terms and Conditions shall be governed and interpreted in accordance with French law without regard to any conflicts of laws principles thereof that would require the application of the law of any other jurisdiction.

Any disputes arising in relation hereto shall be submitted to the exclusive jurisdiction of the French Tribunal de Grande Instance located in Grasse, France.
