Declaration of Conflict of Interest

The Congress Programme Committee requests speakers, abstract presenters, judges and chairpersons to disclose potential conflict of interests regarding the topics of the presentations during the introduction of the session for chairpersons or on the first slide of the presentation for speakers. This will allow the audience to take potential conflicts of interest into account when assessing the objectivity of the presentation. A potential conflict of interest may arise from various relationships, past or present, such as employment, consultancy, investments and stock ownership, funding for research, family relationship, etc.

On Tuesday 15 May and on Saturday 19 May - Speakers will receive by email their personal link to access online services to upload the presentations via a dedicated website.
The personal link can only be found in this email - this is why we will be sending it twice -


Your presentation(s) will be checked by the technicians.

You can amend your uploaded presentation and “reload” new version at any time, the new version will cancel the previous upload.

- Validate your files onsite -
If you have uploaded in advance, you can check in at the Speaker Service Centre to edit / give a final validation to your presentation.

The technicians will have checked your uploaded versions and attachments and contacted you in case of problems - the validation visit is important to ensure the smooth running of your presentation - especially if you have many images and movies.

Chairperson Guidelines

Chairpersons should ensure the smooth progress of the session, time management as well as encourage discussions and interactions between faculty members and the audience by allowing sufficient time for questions from the audience. We recommend to all chairpersons to liaise with the speakers presenting in their session as early as possible preferably prior to the congress. In order to contact the speakers involved in your session contact the scientific progamme department who will put you in contact with the team involved in your session.

General Information

  • Your presentation is confirmed on your agreement form and via the reminders sent by the scientific programme department. 
  • Timing alloted to your presentation, includes time you need to allow for questions from chairpersons and the audience as we strongly encourage the interaction in our scientific sessions. 
  • Session objectives when provided both as speaker guideline and information for the audience. (please consider these when making your presentation). 
  • Upload your presentation - All speakers giving a presentation in scientific sessions  are requested to upload and validate their presentation in the Speakers’ Service Centre (SSC) at least 3 hours prior to the scheduled presentation time or the evening before for 08:30am Scientific Sessions.


Technical Information

  • All PCs in the SSC and the lecture rooms will run Windows 7 and Office 2010. If you have technical questions regarding your presentation before the congress, you may contact helpdesk@m-events.com
  • RESTRICTION: Personal laptop computers cannot be connected to the projectors in  lecture rooms & presentation cannot be loaded directly onto the computer in the  lecture rooms. 
  • To the attention of MAC users! 
    If your presentation is on a Mac computer, we recommend you meet with a dedicated  Mac technician in the SSC to either make sure that your presentation will run properly  on the PC’s or to anticipate a backup solution

All presentations MUST BE validated at the SSC at least 3 hours prior to presentation time.
More information on SSC opening hours will be available closer to the meeting.

Presenter - Oral Abstract Format


Please refer to Speakers Guidelines (above) for technical information on how to prepare your presentation.

Judges Choice Session - Clinical - Rapid fire sessions 

1/ Your research will be presented during an oral abstract session chaired by 2 experts. Sixteen abstracts will be presented in a session giving each presenter 3 minutes to present his work and 2 minutes for questions. The presentation should include no more than 4 slides (including title slide if shown) and be based on abstract headers - Aim / Methods / Results & conclusion. Please refer to your agreement form for the date and time of your session.
 

2/ Your research will also be on display in poster format in a dedicated area - for the day of the session. Make yourself available by your poster during official coffee breaks to further discuss your research with the peers.

Judges Choice Session - Basic Science

Your abstract will be presented during an oral abstract session chaired by 2 experts. The session will consist of 6 abstract presentations giving each presenter 10 minutes to present his work and 5 minutes for questions. Please refer to your agreement form for the date and time of your session.

Award Sessions (Clinical, Nursing & Basic)

Your abstract will be presented during an oral abstract session chaired by 2 experts in front of a panel of Judges. Please limit your presentation to 10 minutes to allow 5 minutes for questions. 
IMPORTANT: Results will be announced and Diplomas handed out during the Award Ceremony. All finalists are requested to attend this session and arrive 10 minutes before for seating / staging arrangements.

Presenter Poster Abstract Format

Your abstract will be presented during assigned Poster Session. Please check your agreement form for confirmation on your session date / time (assigned presentation time/date can not be changed).

Set up and Presentation:

  • Morning Poster Sessions 
    08:00-08:30
    - Set up your poster
    10:00-11:00 - Poster presentation - presenter should be available by the poster during the coffee break  in order to discuss the research with the audience.
    12:30-13:00 - Remove your poster
    The poster will be on display between 08:30 and 12:30

  • Afternoon Poster Sessions 
    13:30-14:00
    - Set up your poster 
    15:45-16:30 - Poster presentation - presenter should be available by the poster during the coffee break  in order to discuss the research with the audience.
    18:00-18:30 - Remove your poster
    The poster will be on display between 14:00 and 18:00.

Please note that the Final Programme Number will be the reference number for your abstract, it will be used to mark the location of your assigned board. For information onsite, presentation certificate etc .. please see the Poster Assistance Desk.

FORMAT AND DIMENSIONS


The format of the poster: PORTRAIT -
Maximum dimensions:
 90cm x 140 cm

Please note these dimensions and keep for when you prepare your poster.



Suggestion:

Design your poster layout in the following sections:
1. Title, author(s), address (at upper edge, across the width of whole poster)
2. Purpose
3. Methods
4. Results
5. Conclusions

The title should be emphasized by the use of bold-face type. When displayed the letters used should not be smaller than 15mm.
The subtitle should be printed in the same kind of lettering, but semi-bold and not less than 10mm high when displayed.
This guarantees clear reading even from a distance of 2-3 meters.

The text should be broken up by the inclusion of drawings and/or photos.
The use of colour makes the poster more attractive and effective.
Material for mounting your poster to the poster board will be supplied by the organizers. Please refer to the ESC staff in the poster area for further assistance.

Moderated Poster Presenter


Your poster has been chosen for its outstanding quality. It will be displayed and discussed in the "Moderated Posters" area during a session chaired by two moderators. Please check your agreement form for confirmation on your session date / time. Please note that the Final Programme Number will be the reference number for your abstract, it will be used to mark the location of your assigned board

Set up and Presentation:

  • Morning Moderated Poster Session
    08:00-08:30
    - Set up your poster
    10:00-11:00 - Poster presentation - presenter must be by the poster 5 minute before the start of the Moderated session
    12:30-13:00 - Remove your poster
    The poster will be on display between 08:30 and 12:30
     
  • Afternoon Moderated Poster Session 
    13:30-14:00
    - Set up your poster 
    15:45-16:30 - Poster presentation - presenter must be by the poster 5 minute before the start of the Moderated Session
    18:00-18:30 - Remove your poster
    The poster will be on display between 14:00 and 18:00.

Each poster presenter will have 3 minutes to briefly summarize their poster to the moderator in front of a dedicated audience.  A question-and-answer period of 2 minutes follows each presentation.
