Declaration of Conflict of Interest
The Congress Programme Committee requests speakers, abstract presenters, judges and chairpersons to disclose potential conflict of interests regarding the topics of the presentations during the introduction of the session for chairpersons or on the first slide of the presentation for speakers. This will allow the audience to take potential conflicts of interest into account when assessing the objectivity of the presentation. A potential conflict of interest may arise from various relationships, past or present, such as employment, consultancy, investments and stock ownership, funding for research, family
relationship, etc.

The existence of potential conflicts of interest does not necessarily indicate a bias. However it is your ethical obligation to inform organisers and participants so that they are made aware of any relationship that might cause unintentional bias.

Speakers are requested to declare interest regarding their current presentation on their first slide.
Chairpersons/Panellists/Judges are requested to declare interest regarding the topics of the presentations during the session on their first slide (if applicable) or orally at the beginning of the session.
Oral Abstract Presenters are requested to disclose potential conflicts of interest regarding their presentation in the first slide.
Poster Presenters are requested to disclose potential conflicts of interest regarding poster presentation at the bottom of their poster.

Chairperson Guidelines

Chairpersons should ensure the smooth progress of the session, time management as well as encourage discussions and interactions between faculty members and the audience by allowing sufficient time for questions from the audience. We recommend to all chairpersons to liaise with the speakers presenting in their session as early as possible preferably prior to the congress. In order to contact the speakers involved in your session contact the scientific progamme department who will put you in contact with the team involved in your session.

Speaker Guidelines

General Information

  • Your presentation is confirmed on your agreement form and via the reminders sent by the scientific programme department.
  • Timing alloted to your presentation, includes time you need to allow for questions from chairpersons and the audience as we strongly encourage the interaction in our scientific sessions.
  • Remember to include your Declaration of interest - DOI Template
  • All speakers giving a presentation in scientific sessions are requested to upload and validate their presentation in the Speakers’ Service Centre (SSC) at least 3 hours prior to the scheduled presentation time or the evening before for 08:30am Scientific Sessions.

Technical Information

  • All speakers giving a presentation in scientific sessions are requested to upload and validate their presentation in the Speakers’ Service Centre (SSC) at least 3 hours prior to the scheduled presentation time.
  • All PCs in the SSC and the lecture rooms will run Windows 7 and Office 2010. 
  • If you have technical questions regarding your presentation before the congress, you may contact helpdesk@m-events.com.
  • RESTRICTION: Personal laptop computers cannot be connected to the projectors in lecture rooms & presentation cannot be loaded directly onto the computer in the lecture rooms.
  • To the attention of MAC users!
    If your presentation is on a Mac computer, we recommend you meet with a dedicated Mac technician in the SSC to either make sure that your presentation will run properly on the PC’s or to anticipate a backup solution.


Speakers Service Centre

All presentations MUST BE validated at the SSC at least 3 hours prior to presentation time.
More information on SSC opening hours will be available closer to the meeting.

Oral Abstract Session

Your abstract will be presented during an oral abstract session. 5 abstract presentations take place in each session. Please refer to your agreement form for the date and time of your session.
Each presenter has 15 minutes to present his work. The PowerPoint presentation should not exceed 10 minutes and 5 minutes should be dedicated to answer questions from the chairpersons / audience.
An appointed member of faculty will be giving a closing 15 minutes presentation, reviewing data presented and perspectives.

  • All speakers giving a presentation in scientific sessions are requested to upload and validate their presentation in the Speakers’ Service Centre (SSC) at least 3 hours prior to the scheduled presentation time.

Poster Presentation Format

Your abstract will be presented during assigned Poster Session 

  • Set up:

    If your presentation is in the morning your poster must be set up between 08:00 and 08:30, removed between 12:30 and 13:00 - to be on display from 08:30 until 12:30. You or one of your co-authors must be present throughout the coffee break (10:00-11:00) in order to discuss the poster.

    If your presentation is in the afternoon your poster must be set up between 13:30 and 14:00, removed between 18:00 and 18:30 - to be on display between 14:00 and 18:00. You or one of your co-authors should be present throughout the coffee break (15:30-16:30) in order to discuss the poster.

    Please note that the Final Programme Number will be the reference number for your abstract, it will be used to mark the location of your assigned board. For information onsite, presentation certificate etc .. please see the Poster Assistance Desk

  • Technical information:
    Maximum dimensions for the poster: landscape 100cm (height) x 145cm (width)
    Please note these dimensions and keep for when you prepare your poster.

Suggestion: Design your poster layout in the following sections:

1. Title, author(s), address (at upper edge, across the width of whole poster)
2. Purpose
3. Methods
4. Results
5. Conclusions

The title should be emphasized by the use of bold-face type. When displayed the letters used should not be smaller than 15mm.
The subtitle should be printed in the same kind of lettering, but semi-bold and not less than 10mm high when displayed.
This guarantees clear reading even from a distance of 2-3 meters.

The text should be broken up by the inclusion of drawings and/or photos.
The use of colour makes the poster more attractive and effective.
Material for mounting your poster to the poster board will be supplied by the organizers. Please refer to the ESC staff in the poster area for further assistance. 

Poster Host

Your role as a poster judge or host consists in reviewing a group of 10 poster presenters presented during the coffee break, and after listening & exchanging with the the presenters (approx 2/3 minutes per poster), you will have to choose the best poster from your assigned group.
This poster will be tagged with a sticker saying "Judge's Choice" and will later be moved by its presenter to a designated area in the poster hall, a committee will choose at the end of the congress amongst all pre-selected the best two posters of each section/nucleus.

The presenters of 8 winning posters will receive an award during the Closing Ceremony.

Depending on the time of your session (from 10:00 to 11:00 OR from 15:30 to 16:30 OR from 11:30 to 12:30) you will have to go to the Poster Assitance Desk before the session to collect:
- Your Poster Assignment List
- The sticker for the winner.
At the end of the session, you will have to return your Poster Assignement List on which you will have highlighted the winner of your group of abstract.

This contact with the Poster Assistance coordinator is key to the proper running of this programme.
