 Declaration of Interest

The Congress Programme Committee requests speakers, abstract presenters, judges and chairpersons to disclose potential conflict of interests regarding the topics of the presentations during the introduction of the session for chairpersons or on the first slide of the presentation for speakers. This will allow the audience to take potential conflicts of interest into account when assessing the objectivity of the presentation. A potential conflict of interest may arise from various relationships, past or present, such as employment, consultancy, investments and stock ownership, funding for research, family relationship, etc.

  Chairperson  Guidelines

Chairpersons should ensure the smooth progress of the session, time management as well as encourage discussions and interactions between faculty members and the audience by allowing sufficient time for questions from the audience. We recommend that all chairpersons liaise with the speakers presenting in their session as early as possible, preferably prior to the congress. In order to contact the speakers involved in your session contact the scientific progamme department who will put you in contact with the team involved in your session.

Speaker Guidelines 

UPLOAD

UPLOAD your presentation in advance

From 30 November until 10 December - you can upload your presentation online  -

  • Speakers have access to a dedicated website to upload their presentation in advance. 

  • Instructions and personal link are sent directly to the speakers by email
    First email on Thursday 1 December and a reminder will be sent on Tuesday 6 December.
    Check your emails to retrieve this link

  • Your presentation(s) will be checked by the technicians and you can always modify / add to the presentation at the Speaker Service Centre, should you wish to make any last minute changes.

  • You can amend your uploaded presentation and “reload” a new version at any time, the new version will cancel the previous upload.

  • Remember to insert your Declaration of Interest at the begining of your presentation. see sample format Save time
     

Speaker Service Center

All speakers and presenters must come to the Speaker Service Center (SSC) to upload their presentation if they have not done so via our online upload system.

Speakers who uploaded online can still come to the SSC to check their presentation , or if they want to make any last minute changes on their slides.

General Information

  • Your presentation is confirmed on your agreement form and via the reminders sent by the scientific programme department.
  • Timing alloted to your presentation includes time you need to allow for questions from chairpersons and the audience as we strongly encourage the interaction in our scientific sessions.
  • All speakers giving a presentation in scientific sessions are requested to upload and validate their presentation in the Speaker Service Centre (SSC) at least 3 hours prior to the scheduled presentation time or the evening before for 08:30am Scientific Sessions.

Technical Information

  • All speakers giving a presentation in scientific sessions are requested to upload and validate their presentation in the Speaker Service Centre (SSC) at least 3 hours prior to the scheduled presentation time.
  • All PCs in the SSC and the lecture rooms will run Windows XP and Office 2007. 
  • If you have technical questions regarding your presentation before the congress, you may contact our audiovisual department by clicking <here>.
  • RESTRICTION: Personal laptop computers cannot be connected to the projectors in lecture rooms & presentation cannot be loaded directly onto the computer in the lecture rooms.
  • To the attention of MAC users!
    If your presentation is on a Mac computer, we recommend you meet with a dedicated Mac technician in the SSC to either make sure that your presentation will run properly on the PC’s or to anticipate a backup solution.

  Oral Abstract Session

Your abstract will be presented during an oral abstract session.   Please refer to your agreement form for the date and time of your session.

Presentation timing: your powerpoint presentation can not exceed 10 minutes as 5 minutes must be dedicated to the question & answer  with the panel of experts.

  • All speakers giving a presentation in scientific sessions are requested to upload and validate their presentation in the Speakers’ Service Centre (SSC) at least 3 hours prior to the scheduled presentation time.
  • Remember to insert a Declaration of Interest slide at the begining of your presentation (read more)
  • All PCs in the SSC and the lecture rooms will run Windows XP and Office 2007.

  Poster Presentation Format

Your abstract will be presented during a Poster Session - Time and Date are available on your agreement form. You should request your Presentation Certificate at the Poster Assistance Desk after your session.

  • Set up and presentation:

    If your presentation is in the morning - your posters must be set up between 08:00 and 08:30, removed between 12:30 and 13:00 in order to be on display from 08:30 until 12:30. The presenter should be by his poster throughout the coffee break (10:00 - 11:00).

    If your presentation is in the afternoon - Your posters must be set up between 13:30 and 14:00, removed between 18:00 and 18:30 in order to be on display from 14:00 until 18:00. The presenter should be by the poster throughout the coffee break (15:30 - 16:30).

    Please note that the Final Programme Number will be the reference number for your abstract, it will be used to mark the location of your assigned board. For information onsite, presentation certificate etc .. please see the Poster Assistance Desk

  • Technical information:
    Maximum dimensions for the poster: landscape

    100cm (height) x 140cm (width)

    Please note these dimensions and keep for when you prepare your poster.

Suggestion: Design your poster layout in the following sections:

1. Title, author(s), address (at upper edge, across the width of whole poster)
2. Purpose
3. Methods
4. Results
5. Conclusions

The title should be emphasized by the use of bold-face type. When displayed the letters used should not be smaller than 15mm.
The subtitle should be printed in the same kind of lettering, but semi-bold and not less than 10mm high when displayed.
This guarantees clear reading even from a distance of 2-3 meters.

The text should be broken up by the inclusion of drawings and/or photos.
The use of colour makes the poster more attractive and effective.
Material for mounting your poster to the poster board will be supplied by the organizers. Please refer to the ESC staff in the poster area for further assistance.

  Moderated Poster Presentation Format

Your abstract will be presented during a Moderated Poster Session.

Your poster has been chosen for its outstanding quality. It will be displayed and discussed in the "Moderated Posters" area during a session chaired by two moderators. Please check your agreement form for confirmation on your session date / time.

Presenters are asked to be by their poster 5 minutes before the scheduled presentation time.
You should request your Presentation Certificate at the Poster Assistance Desk after your session.

  • Set-Up and Presentation:

Morning Moderated Poster Session:
Your poster must be set up between 08:00 and 08:30, removed between 12:30 and 13:00 in order to be on display from 08:30 until 12:30.

Poster will be presented betwen 10:00 and 11:00. Each presenter will have 5 minutes to present and discuss their research in front of the audience and the chairpersons. The presenter must be present for the entire duration of the session (from 10:00 until 11:00).

Afternoon Moderated Poster Session:
Your poster must be set up between 13:30 and 14:00, removed between 18:00 and 18:30 in order to be on display from 14:00 until 18:00.

Poster will be presented betwen 15:30 and 16:30. Each presenter will have 5 minutes to present and discuss their research in front of the audience and the chairpersons. The presenter must be present for the entire duration of the session (from 15:30 until 16:30).
