Speakers and Poster Presenters Guidelines

Please find below information relating to the presentation format:



SPEAKERS GUIDELINES

 
All speakers giving a presentation in scientific sessions are requested to upload and validate their presentation in the Speakers’ Service Centre (SSC) a minimum of 3 hours before the session starts or the day before if the session is at 8:30!
Presentations received after this deadline cannot be guaranteed audiovisual support.

Peak hours of operation in the SSC are during coffee breaks and lunch breaks. In order to maximize your time and the service we are able to provide you within the SSC, we highly recommend visiting early in the morning or during session’s time.

What about the support of your presentation?

Caution: Upload in advance of your presentation(s) is ONLY possible via “My ESC”  (myESC.escardio.org), with your usual username & password, from 1st December to 12 December 2008 (midnight GMT).

For ALL Chairpersons introductions, satellites sessions, etc…, please, bring presentations on a CD-Rom, DVD-Rom, Memory Stick or Laptop to the SSC.

All PCs in the SSC and the lecture rooms will run Windows XP and Office 2003.

Restriction:

  • Personal laptop computers cannot be connected to the projectors in lecture rooms.
  • Presentation cannot be loaded directly onto the computer in the lecture rooms.

In the Speakers' Service Center:

The SSC hostesses will be happy to welcome you in a relaxed and friendly atmosphere. Highly experienced and skilled technicians will assist you to transfer and to validate your presentation(s). Once uploaded to the respective lecture room, presentations will be played locally.

Rehearsal: In the SSC, a demonstration lectern will represent what is supplied in the lecture room. We strongly recommend that all speakers should familiarize themselves with the mouse control.

To the attention of MAC users!
If your presentation is on a Mac computer, we kindly urge you to meet with a dedicated Mac technician in the SSC to either make sure that your presentation will run properly on the PC’s or to anticipate a backup solution.

In the Lecture Room

From the lectern, you will launch yourself your presentation by the use of a friendly interface and control it directly with a mouse.
We strongly recommend the use of the mouse pointer, instead of any laser pointer (not provided).
Chairpersons will easily follow the presentations by dedicated monitor.


MODERATED POSTER PRESENTATION

Same as for a Poster Presentation - see below.

Your poster will be displayed in a specific area with other moderated posters.
Specific time for presentation is allocated to you and 2 chairpersons will moderate the session, time is also allocated for question/answers with the audience.
 

POSTER PRESENTATION

Set up:

Morning Poster session:

  • Poster set up between 08:00 and 08:30
  • Poster removed between 12:30 and 13:00
  • The poster must be on display between 08:30 and 12:30.
  • You or one of your co-authors must be present throughout the coffee break (10:00-11:00) in order to discuss the poster.

Afternoon Poster session:

  • Poster set up between 13:30 and 14:00
  • Poster removed between 18:00 and 18:30
  • The poster must be on display between 14:00 and 18:00
  • You or one of your co-authors must be present throughout the coffee break (15:30-16:30) in order to discuss the poster.

Please make a note of the Final Programme Number reference for your poster, as it will be use to mark the location of your board.

Dimensions of your poster:
Landscape 1m (height) x 1m45 (width)

Please note these dimensions and keep for when you prepare your poster.

Suggestion: Design your poster layout in the following sections:

   1. Title, author(s), address (at upper edge, across the width of whole poster)
   2. Purpose
   3. Methods
   4. Results
   5. Conclusions

Recommended sketch of poster:

The title should be emphasized by the use of bold-face type. When displayed the letters used should not be smaller than 15mm.
The subtitle should be printed in the same kind of lettering, but semi-bold and not less than 10mm high when displayed. This guarantees clear reading even from a distance of 2-3 meters.

The text should be broken up by the inclusion of drawings and/or photos.
The use of colour makes the poster more attractive and effective.

Material for mounting your poster to the poster board will be supplied by the organizers. Please refer to the ESC staff in the poster area for further assistance.
