Declaration of Conflict of Interest

The Congress Programme Committee requests speakers, abstract presenters, judges and chairpersons to disclose potential conflict of interests regarding the topics of the presentations during the introduction of the session for chairpersons or on the first slide of the presentation for speakers. This will allow the audience to take potential conflicts of interest into account when assessing the objectivity of the presentation. A potential conflict of interest may arise from various relationships, past or present, such as employment, consultancy, investments and stock ownership, funding for research, family relationship, etc.


Chairperson Guidelines

Chairpersons should ensure the smooth progress of the session, time management as well as encourage discussions and interactions between faculty members and the audience by allowing sufficient time for questions from the audience.We recommend to all chairpersons to liaise with the speakers presenting in their session as early as possible preferably prior to the congress. In order to contact the speakers involved in your session contact the scientific progamme department who will put you in contact with the team involved in your session.

    please note that you do not require username / password as we provide you with a direct link access to your presentation.

  • To make changes to a previously uploaded presentation:
    - Use your personal link - as you have already uploaded files, click on "Details" to review your presentation - you can also download your uploaded files as a ZIP-file.
    - Re-Access the UPLOAD Service at any time if you wish to modify your presentation.
    - Re-Upload (the latest version will be kept by the technicians)

  • Internet Upload possible from 20 June until 29 June 2011 

  • Validate your files onsite - Come to the Speaker Service Centre -
    If you have uploaded in advance, you will only have to check in at the Speaker Service Centre to give your final validation to your presentation
    The technicians will have checked your uploaded versions and attachments and contacted you in case of problems - the validation visit is important to ensure the smooth running of your presentation - especially if you have many images and movies .

 

 

 


Speaker Guidelines

 

 General Information 

 

  • Your presentation is confirmed on your agreement form and via the reminders sent by the scientific programme department.
  • Session objectives when provided both as speaker guideline and information for the audience. (please consider these when making your presentation).
  • Timing alloted to your presentation, includes time you need to allow for questions from chairpersons and the audience as we strongly encourage the interaction in our scientific sessions.
  • All speakers giving a presentation in scientific sessions are requested to upload and validate their presentation in the Speakers’ Service Centre (SSC) at least 3 hours prior to the scheduled presentation time or the evening before for 08:30am Scientific Sessions
  • For general scientific questions, please contact us

Technical Information

  • All speakers giving a presentation in scientific sessions are requested to upload and validate their presentation in the Speakers’ Service Centre (SSC) at least 3 hours prior to the scheduled presentation time.

  • All PCs in the SSC and the lecture rooms will run Windows XP and Office 2007.
  • We recommend you use our Internet UPLOAD Service - How to upload in advance
  • If you have technical questions regarding your presentation before the congress, you may contact our audiovisual department by clicking here.
  • RESTRICTION: Personal laptop computers cannot be connected to the projectors in lecture rooms & presentation cannot be loaded directly onto the computer in the lecture rooms.
  • To the attention of MAC users!
    If your presentation is on a Mac computer, we recommend you meet with a dedicated Mac technician in the SSC to either make sure that your presentation will run properly on the PC’s or to anticipate a backup solution.

Abstract Presenter Guidelines

Oral Abstract Session 
   



  • Your abstract will be presented during an oral abstract session.  abstract presentations take place in each session.
  • Please refer to your agreement form for the date and time of your session.
  • Each presenter has 15 minutes to present his work.  The PowerPoint presentation should not exceed 10 minutes and 5 minutes should be dedicated to answer questions from the chairpersons / audience.

Poster Presentation Format 





Your abstract will be presented during a Poster session 
        
A) Set up:

If your presentation is in the morning your poster must be set up between 08:00 and 08:30, removed between 12:30 and 13:00 - to be on display from 08:30 until 12:30. You or one of your co-authors must be present throughout the coffee break (10:00-11:00) in order to discuss the poster.

If your presentation is in the afternoon your poster must be set up between 13:30 and 14:00, removed between 18:00 and 18:30 - to be on display between 14:00 and 18:00. You or one of your co-authors should be present throughout the coffee break (15:30-16:30) in order to discuss the poster.

Please note that the Final Programme Number will be the reference number for your abstract, it will be use to mark the location of your assigned board. For information onsite, presentation certificate etc .. please see the Poster Assistance Desk

B) Technical information:

Maximum dimensions for the poster: landscape 100cm (height) x 145cm (width)

Please note these dimensions and keep for when you prepare your poster.
Suggestion: Design your poster layout in the following sections:

1. Title, author(s), address (at upper edge, across the width of whole poster)

2. Purpose

3. Methods

4. Results

5. Conclusions

The title should be emphasized by the use of bold-face type. When displayed the letters used should not be smaller than 15mm.
The subtitle should be printed in the same kind of lettering, but semi-bold and not less than 10mm high when displayed.
This guarantees clear reading even from a distance of 2-3 meters.

The text should be broken up by the inclusion of drawings and/or photos.
The use of colour makes the poster more attractive and effective.
Material for mounting your poster to the poster board will be supplied by the organizers. Please refer to the ESC staff in the poster area for further assistance.





Moderated Poster Presentation Format





Your abstract will be presented during a  Moderated Poster session 
        
A) Set up: in the Moderated Poster Area

If your presentation is in the morning moderated poster session -  your poster must be set up between 08:00 and 08:30, removed between 12:30 and 13:00 - to be on display from 08:30 until 12:30.
If your presentation is in the afternoon moderated poster session your poster must be set up between 13:30 and 14:00, removed between 18:00 and 18:30 - to be on display between 14:00 and 18:00.

B) Presentation

Your poster has been chosen for its outstanding quality. It will be displayed and discussed in the "Moderated Posters" area during a session chaired by two moderators. Please check your agreement form for confirmation on your session date / time
Each poster presenter will have 3 minutes to briefly summarize their poster to the moderator in front of a dedicated audience.  A question-and-answer period of 2 minutes follows each presentation.

Morning Moderated Poster Session:
The poster must be on display between 08:30 and 12:30.
The presenter must be by the poster 5 minute before the start of the Moderated Poster Session (10:00 - 11:00)

Afternoon Moderated Poster Session:
The poster must be on display between 14:00 and 18:00
The presenter must be by the poster 5 minute before the start of the Moderated Poster Session (15:30 - 16:30)

Please note that the Final Programme Number will be the reference number for your abstract, it will be use to mark the location of your assigned board.

Flash Poster Presentation Format  
   





Presenters are requested to prepare an oral presentation and a poster.

> Oral Presentation - Powerpoint Presentation of four slides maximum
Your abstract will be presented in a flash session chaired by 2 experts.
Please refer to your agreement form for the date and time of your session.

Each Presenter has 6 minutes assigned for presentation and discussions on the research. Presentation of your 4 slides should not exceed 3 minutes in order to have sufficient time for interaction with the chairpersons and the audience.

All presenters are requested to upload and validate their presentation in the Speakers’ Service Centre (SSC) three hours before their scheduled presentation time. View "Speakers' Service Centre Opening Hours".

RESTRICTION:
Personal laptop computers cannot be connected to the projectors in lecture rooms & presentation cannot be loaded directly onto the computer in the lecture rooms.
To the attention of MAC users, please specify in the Speaker Service Center that you are using a MAC to ensure proper conversion of your file

> Poster presentation : Display all day 08:30 - 18:00

Your poster must be set up by 8:30 and removed by 18:00  to be on display all day in the dedicated area in the poster zone.
