Group General Conditions

10th Annual Spring Meeting on Cardiovascular Nursing

Companies or Agencies can make group registration through the ESC Web Site for 5 or more delegates. The following conditions apply:

  • Registrations should be made through one contact person
  • The group options selected will apply to all delegates registered in the group
  • Group registrations sent by post, fax or E-mail will not be accepted.
  • It is mandatory to mention the VAT number for all EU countries.


ADDRESSES

Important: please note that only groups providing valid addresses for each attendee will be processed. Without this information the registrations will not be accepted. If the valid address is submitted at a later stage, the fee corresponding to the period when we receive this information will apply.

Valid information (addresses and emails) is not only important for the ESC but also for:

  • Your attendees, so they receive the journal subscription when included in the registration fee
  • The exhibiting companies, so they retrieve from badge readers during the congresses usable and accurate participants’ data.

OFFICIAL DOCUMENT

A customised invitation letter for visa purposes will be available for each participant registered as an active delegate in the group. You should click on the envelop icon for each of your participants to access to the invitation letter.


SUBMISSION AND PAYMENT OF REGISTRATIONS

Please note that the deadlines refer to the date by which both the registration and full payment must be received.

Early fee: From Mid-July 2009 until 01 February 2010 midnight (GMT+1)
Registrations can be made and cancelled without charge until the Early Fee deadline - 01 February 2010 midnight (GMT+1). After this date access to your registration account will be blocked allowing the ESC Registration department to download the information.

The ESC must receive the payment corresponding to all items ordered during the early fee period and before the deadline.

A “Request for funds” for financial purposes can be printed from the website at any time during the valid registration periods.
The Registration Department will validate the early fee registrations and payments and will inform you by email. You will then be able to access your account in order to enter new registrations for the late fee period. A summary of your ordered registration together with an advance payment invoice will be sent by email.

Late fee: From 02 February 2010 until 01 March 2010 midnight (GMT+1)
As soon as the group account is accessible again, registrations at the late fee can be processed. Registrations made during the Late Fee period can be cancelled without charge until the Pre-Registration deadline - 01 March 2010 midnight (GMT+1). Please note that during this period, name changes or cancellations made on the "Early fee" registrations will be charged as follows:

  • 25% administrative fee will be charged for cancellations until the pre-registration deadline - 01 March 2010 midnight (GMT+1), after this date there is no refund for cancellations.
  • Name changes will be charged with a fixed price of 25 EURO until the pre-registration deadline. After this date no name change can be made.

The ESC must receive the payment corresponding to all items ordered during the late period and before the deadline. “A request for funds” can be printed from the website at any time during the valid registration periods.
At the date of the pre-registration deadline, your account will be blocked allowing the ESC Registration Department to download the new information and check the payment. From this stage on, no new registrations or changes are possible and the ESC Online Group Registration will be accessible as “Read only”. New registrations or amendments can only be made on-site at the congress.


BADGES

Please note that the congress badges will only be sent to you OR directly to your participants (depending on your choice when you submitted the group) upon receipt of the full payment for all submitted registrations. Requests for reimbursements must be sent in writing. Refunds when applicable will be processed after the congress.


LIABILITY DISCLAIMER

The above terms apply to all registration cancellations.
Should a delegate not attend the congress, for whatever reasons, no further claims for reimbursement or waiving of fees can be made
Similarly no right to further claims or waiving of fees will arise should the ESC be obliged to alter the programming of congress proceedings
All delegates are urged to take personal travel insurance.
