Group Hotel Bookings

Group bookings (from 10 rooms) are handled separately and proposals are made on request. Hotels available for groups may not be the same as for individual bookings. Please contact us by email or fax.

Hotel Accommodation Conditions

General Conditions

The ESC has reserved rooms in Versailles in various price category hotels.

Rooms will be allocated on a first come - first served basis. Telephone requests cannot be accepted. Please note that after certain price categories have been booked out, the ESC reserves the right to confirm bookings in other price categories.

Upon receipt of the deposit payment, a voucher will be issued and sent by email. This voucher must be presented to the hotel and upon departure the deposit payment will be deducted from the total bill.

Payments

 By Credit Card:

Deposit for two nights accommodation (according to requested hotel and room type). In case of late cancellations or no-shows, the ESC reserves the right to debit credit cards for any additional nights originally booked if required by the hotel.

 By Bank Transfer:

Accepted until 25 September 2008.
Full pre-payment is required for all nights according to the requested hotel and the room type. Please make sure that the name of the participant is mentioned on the bank transfer.

By Cheque:

Full pre-payment is required for all nights according to the requested hotel and the room type. Cheques must be in Euro and made out to ESC Hotel Department.

Cancellation Conditions

Until 1 July 2008, the participant will be liable for one night’s accommodation cost. After this date, no refund will be made.
The ESC reserves the right to charge for all nights originally booked if required by the Hotel.

Modification Conditions

Changes of reservations will only be accepted in written form and they should be made directly on the voucher and returned to the ESC Hotel & Social Events Department. If the changes are possible, a new voucher will be issued. The ESC cannot guarantee that modifications submitted after 25 September 2008 can be made.If a participant shortens his stay after the deadline, the Hotel reserves the right to charge cancellation fees for all nights previously booked.The Hotels will invoice the participants for the number of confirmed nights mentioned on the last voucher.
